Privacy Policy

This privacy policy is for the company, Jamie Vuong Personal Training (jamievuong.co.uk). It applies to clients (both current and former), as well as any people who enquire about personal training.

What data we collect

The personal data we collect from you includes:

  • Your personal details, including your full name, gender, date of birth, and occupation

  • Your contact information, including your address, email address, and mobile number (as well as your emergency contact name and their number)

  • Your medical history, such as those found in the Physical Activity Readiness Questionnaire (PAR-Q)

  • Your measurements, including scale weight and body part circumferences

  • Your photos and workout recordings, such as those taken for before and afters, and any training videos of you (this only applies if you’ve given consent to allow these to be taken)

  • Your nutrition information, including figures calculated for tracking calories and example meal plans

  • Your lifestyle information, including the goals you want to achieve

  • Your payment information, such as those stored on PayPal

  • Your check-ins and feedback, including weekly/monthly check-ins and any surveys sent out

All the information above will mostly be collected from any PAR-Qs filled out before your first personal training session. You’ll also have to sign off a Personal Training Client Agreement which details our terms and conditions. This information may also come in through my website, emails, text messages, WhatsApp messages, Google Forms, and PayPal.

Why we need your data and what we do with it

We process personal information in order to fulfil the contract for the provision of the personal training service you are considering. Your health data is necessary for legal purposes and to ensure I am appropriately qualified to help you.

Your information is also used to allow us to know the best way for you to move forward on your journey, as well as for us to know how we can improve the service to provide you with the gold standard of personal training.

We may also use your information for marketing purposes, including any email updates about the business, newsletters, blog posts, and social media (this applies only if you’ve given consent).

Our legal basis for processing your data

  • Consent: using your data for marketing purposes (including social media), any photos or videos taken of you

  • Contract: Personal Training Client Agreement (which details the terms and conditions)

  • Legal obligation: Physical Activity Readiness Questionnaire (PAR-Q) - we are required by law to collect this information in order to legally train you

  • Legitimate interests: to provide any updates on the service, reply to any enquiries or questions, to give you suggestions on how to move forward with your health and fitness goals

How long do we keep your data

Your data will be held on file for 7 years following the end of the service in accordance with legal requirements.

Where your data is processed and stored

All the information above is stored on my personal computer (which only I have access too). Information is kept in spreadsheets, PDF files, emails, and folders. Most information will be backed up to Dropbox (you’ll have access to your personal Dropbox folder). Payment information is taken and stored on PayPal. Information is also stored on Google (Gmail and Forms) and AWeber (an email marketing software) for marketing purposes and to send email updates. My accountant will also have access to certain data for tax purposes.

How we protect your data and keep it secure

We are committed to doing all that we can to keep your data secure. All access to files have password protection. Dropbox, PayPal, Google, and AWeber, all keep your data secure through multiple layers of protection - for example, your data is protected using varying levels of encryption.

  • Right of rectification: rectify any inaccurate information you provide

  • Right of erasure: to have your personal data removed (this only applies in certain circumstances)

  • Right to data portability: to obtain and reuse your personal data for your own purposes across different services

  • Right to object: the processing of your personal data in certain circumstances
